JOB TITLE:   ADMINISTRATIVE ASSISTANT TO THE ASSISTANT PRINCIPALS

SUPERVISED BY: Principal 
SUPERVISES: NIA

SUMMARY OF JOB DESCRIPTION: Responsible for the smooth and efficient operation of the school administrative office. Duties include answering phones and directing callers, greeting and directing visitors, compiling the calendar, overseeing office equipment and related supplies, distributing mail, contacting parents as needed, managing absences, assisting with supervising students in office and lunchroom, preparing mailings.

       Frequency

1. Answer incoming calls, direct them appropriately through the voice message system and answer questions for callers. Greet, direct and answer questions for visitors.

2. Oversee office equipment service calls and maintenance including inventorying and ordering supplies.

3. Distribute incoming mail to staff boxes.

4. Assist administration with developing, monitoring and coordinating the evaluation schedule

5. Serve as the school/community liaison including but not limited verbal communications and Summit CountyAlerts.

6. Contact parents regarding school information as needed.

7. Assist with the roles and responsibilities of the bookkeeper, attendance, athletics, counseling, etc. in  the absence of key staff.

8. Assist with supervision of students in the office for disciplinary reasons.

9. Identify, submit and follow up on maintenance requests related to facility safety.

10. Coordinate leave requests, substitute teachers and the absence management system to ensure accuracy on behalf of staff/administration.

11. Maintain, document and process Extra Duty payments electronically in order to have  it to the payroll department by the 5th of each month.

12. Coordinate and monitor classroom rosters, keys related to staff and substitute teachers.

13.  Assist  with  setting  up  Fire  Drill  dates  with the local  fire  department  and  assist  with  all  emergency drills/evacuations as described in established school/district emergency procedure guidelines.

14. Attend meetings as necessary to take notes and serve as the record keeper.

15. Manage the day to day activities of the office including but not limited to, work comp processing, payroll, district and school policies and procedures, form development, copying, mailing, supply ordering, reimbursement processing, appointment booking, scheduling, calendar updates, newsletter development and distribution, staff, student and parent communication, daily paperwork processing.

16. Copy and prepare a newsletter for bulk mailing on a quarterly basis.

17. Prepare other mailings for school.

19. Process the assignment, collect and record all student fees and fines.

20. Collect books and fees for students who turn them in as a fee is assessed.

21. Do billing for students who owe money, books or class fees.

22. Perform other duties as assigned.

 QUALIFICATIONS:

  • High school diploma or equivalent
  • Secretarial/clerical, computer and office equipment experience helpful
  • First Aid Class/ CPR & AED Certification Required (or obtain within 6 months of hire)
