SUMMARY OF JOB DESCRIPTION: Responsible for the smooth and efficient operation of the administrative services of the Special Education Department. Duties include assisting the Special Education Director and Manager as well as the Special Education Providers with compliance, data and documentation requirements for State and Federal reporting.   Partner with providers in assistance with the IEP process and student management software utilized in servicing student in our Special Education Program.

Work closely with Special Education Providers and District staff to accurately maintain and validate the special education student management software with all student information within the district, including all reporting requirements (October 1 Count, November 1 Count, December 1 Count, and End-of-Year Report).

Work with School Secretaries to ensure accurate data reporting within the special education student management software (Frontline) and the student information system (PowerSchool).

Notify Special Education Providers of caseloads and upcoming meetings.  

Notify special education providers of procedural guidelines and updates made by the Colorado Department of Education (CDE), special education software management company (Frontline), and the District. 

Assist with training regarding special education student management software (Frontline), as needed.

Assist with the maintaining and improving the special education student management software (Frontline) to maximize effectiveness according to the District’s needs, which may include, but is not limited to updating user rights, text assist, document protocols, provider roles and access, and reports. 

Assist with troubleshooting and resolving issues associated with the special education student management software (Frontline).

Provides support to the Special Education Director, Special Education Coordinator, and Preschool Coordinator.  

Assist with the organization, setup, monitoring and record keeping related to trainings offered and/or required as part of our special education services including new provider orientation and the development of reference documents.

Serves as a liaison between providers and the Special Education Director and Coordinator sharing appropriate information in a timely and responsible manner.

Ensure that all activities requiring the use of student data meets district policy, state laws and federal laws related to student data, acceptable use and confidentiality.

Finalize and archive IEPs after providers complete the documentation.

Audit IEPs for compliance and quality, providing feedback to providers as well as the Special Education Director and Coordinator.

Assist with maintaining special education records including data destruction per District and State policies.
