JOB TITLE: FRONT OFFICE RECEPTIONIST/ Admin Assistant
SUPERVISED BY: Chief Talent Officer
SUMMARY OF JOB DESCRIPTION: Front Desk Receptionist responsible for greeting, assisting callers and visitors to the District Central Office; answering routine questions from the public and employees, providing employment information, securing front vestibule and assisting with the day to day routine operations of Central Office to ensure it's smooth operation and great customer service.

Frequency
1. Greet visitors, answer routine inquiries from the general public and direct them to the appropriate office and/or persons. Manage secured vestibule by greeting, screening visitors, and conducting proper visitor procedures; operate a console telephone, answer routine questions from the general public and employees and monitoring/responding to District emergency radio when needed.

2. Process and reconcile purchase orders and Visa Statements for various departments.

3. Accept District employment applications and documents using the online system; check for completeness, correspond and provide verbal employment information to applicants.

4. Provide written verification of employment. Provide support in documenting I9 verifications.

5. Distribute District and U.S. Mail to the appropriate employee mailbox and operate postage machine for outgoing mail, manage District bulk mailings and assist accounts payable in mail organization.

6. Schedule Central office conference rooms as requested, maintain room schedules, and input facilities work orders and online facilities building requests.

7. Order office supplies for Central as well as snacks for District meetings, billing related expenses to appropriate departments.

8. Assist Central office departments with certificates of recognition, printing posters, mailings and other special projects as needed.

QUALIFICATIONS:
- High school diploma or equivalent plus courses in basic computer applications required
- One year of general clerical, office procedure, office equipment, data input and telephone switchboard experience required
